These Terms of Service ("Terms") govern your use of Sortfully ("Sortfully", "we", "us"), operated by Adam Harman, a sole trader trading as "Sortfully". By creating an account or connecting a mailbox, you agree to these Terms. If you are agreeing on behalf of an organisation, you confirm you are authorised to bind that organisation.
1. The service
Sortfully connects to your Microsoft Outlook / Microsoft 365 mailbox and automatically files incoming mail into folders or coloured category labels, grouped by the sender's organisation domain. Sortfully reads only routing metadata and never reads your message bodies or attachments. What we access — and how it is enforced in code — is described in our Privacy Policy.
2. Private beta
Sortfully is currently offered as a private beta. During the beta the service is provided on an "as available" basis with no guarantee of uptime or availability: features may change or be removed, there may be interruptions, and we may suspend or discontinue the beta, in whole or in part, at any time. We will use reasonable efforts to give you notice of material changes or of discontinuation where practical. You can disconnect, and export or delete your data, at any time (see our Privacy Policy).
3. Accounts and eligibility
You must be at least 16 years old and provide accurate account information. You are responsible for activity under your account and for keeping your credentials secure. We offer two-factor authentication and recommend you enable it.
4. Your Microsoft account and authorisations
To use Sortfully you grant the Microsoft permissions described at sign-in (see the Privacy Policy for the full list). You may revoke Sortfully's access at any time from your Microsoft account, which stops all filing. You are responsible for ensuring you are entitled to connect the mailbox you connect — for organisational mailboxes, that you have your organisation's authorisation.
5. Acceptable use
You agree not to misuse the service, including by: attempting to access another user's data; probing or breaching security or authentication measures; using the service unlawfully or to process data you have no right to process; or interfering with the service's operation. We may suspend accounts that breach this section.
6. Subscriptions, billing and trials
6.1 Paid plans are billed per connected mailbox. Standard is £5 per mailbox per month (£50 per year); Business is £9 per mailbox per month (£90 per year). Prices are in GBP and exclusive of any local tax.
6.2 Payments are handled by Paddle, our merchant of record. Your purchase is also subject to Paddle's buyer terms.
6.3 Each person is entitled to one free trial. Subscriptions renew automatically until cancelled.
6.4 Cancellation and downgrades. You may cancel at any time; cancellation takes effect at the end of the current billing period and is not refundable for the remainder of that period. Downgrades take effect at renewal.
7. Cancellation and your data
On cancellation your mailboxes are disconnected and your data is scheduled for deletion after a 30-day recovery grace period, during which you can restore it by re-subscribing. You may also request immediate deletion. After the grace period your data is permanently and irreversibly purged. See the Privacy Policy for detail.
8. Intellectual property
Sortfully and its software, design, and content are owned by us and our licensors. We grant you a limited, non-exclusive, non-transferable right to use the service while your account is active. You retain all rights to your own data.
9. Disclaimers
To the extent permitted by law, the service is provided "as is" and "as available", without warranties of any kind. We do not warrant that the service will be uninterrupted or error-free. Sortfully moves and labels mail but never deletes it; you remain responsible for your own mailbox and any native Outlook rules you run.
10. Limitation of liability
To the extent permitted by law, we are not liable for indirect, incidental, or consequential losses, or for loss of data, revenue, or profits. Our total liability to you arising out of or in connection with the service is limited to the greater of (a) the total fees you paid us for the service in the 12 months before the event giving rise to the claim, or (b) £100. Nothing in these Terms excludes liability that cannot be excluded by law.
11. Changes to these Terms
We may update these Terms as the service changes. We will post the updated version with a revised "last updated" date, and for material changes give notice by email or in the app. Continued use after changes take effect constitutes acceptance.
12. Governing law
These Terms are governed by the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction, without affecting any mandatory consumer-protection rights you have where you live.
